PATHFIELDS MEDICAL GROUP – PRACTICE OPERATIONS MANAGER

We seek an operations manager to ensure the smooth running of our 34k patient practice working across our 8 sites in Plymouth. The post-holder will be responsible for ensuring effective use of resources to maximise practice income. The development and effective coaching of support staff to deliver current contracted services and identifying new opportunities whilst ensuring operational standards are maintained. The post-holder is responsible for the maintaining complete and accurate information on all aspects of practice buildings, equipment and ongoing maintenance. The role plays a significant part in the delivery of support to new business development, cost-saving and income maximisation through the buildings strategy. The post-holder will work closely with the Group Practice Manager and the wider management team to ensure the delivery of a quality service to all our patients.

Job responsibilities:

  • Ensure the provision of high quality, customer focused administration services to support the practice and meet service demands.
  • Manage national and local health campaigns including immunisation and vaccination programmes.
  • Understand the practice contracts with NHSE/CC and ensure delivery against all contractual elements eg KPIs and service specifications as set with the contract.
  • To maintain up to date awareness of general healthcare issues and particularly national and local primary care initiatives through various resources.
  • To ensure any requests from NHS England, CCG etc. are responded to in a timely manner
  • Ensure complaints are managed in line with practice policy.
  • To receive and deal with Significant Incidents and ensure they are managed in line with practice policy.
  • To monitor significant events and undertake appropriate audits and create action plans with follow up where required.
  • Comply with the requirements of the Care Quality Commission and other regulatory bodies.
  • Address issues as they arise to keep the service running smoothly.
  • Reception and administration cover in exceptional circumstances.
  • Act as the primary contact for all building related issues.
  • Contribute to the development of practice strategy.
  • Identify income maximisation and cost saving opportunities including negotiation and procurement relating to buildings, equipment, testing and calibration.
  • Identify and develop new supply opportunities to improve the quality, service and value for money of goods and services.
  • Ensure adequate cleaning, maintenance, safety, fire prevention and general security of the premises
  • Facilitate repairs, replacement of necessary decoration to maintain good order of premises and fixtures.
  • Ensuring that all necessary equipment is working and regularly serviced, keeping the practice equipment and asset log up to date.
  • To schedule maintenance and monitoring of equipment, including PAT testing and equipment calibration.
  • To monitor and maintain adequate stocks and supplies and necessary equipment for day to day working.
  • To ensure the practice is a tidy and pleasant environment in which to work.
  • To deputise for the other members of the management team in their absence.
  • To provide pastoral care to staff and colleagues as and when required.
  • To provide a project management role to the practice as and when required.

General

  • To undertake any other duties commensurate with the post and to react to statutory, legislative and NHS policy within the scope of the role.
  • To undertake appropriate continuing professional development to maintain and improve skills within the role.
  • To ensure Health and Safety compliance in line with current legislation.
  • To be accountable for Health and Safety on site, by delegating effectively and monitoring the activities of those responsible for Fire, COSHH, Incident Control, Security etc.
  • To adhere to the practice policy on equality and diversity and ensure that all colleagues, patients and members of the public are treated with dignity and respect.
  • To observe confidentiality of patient and practice information at all times and adhere to the practice policies in relation to data and information.
  • To provide a project management role to the practice as and when required.
